Student Hiring Information for GW Departments


The Career Center “hires,” i.e., creates employment records in Banner, for student wage account employees (account 51229) and Federal Work Study employees (account 51225).  We also administer the following aspects of the GW Federal Work Study (FWS) Program:

*      Annual distribution and collection of Federal Work Study Participation Agreements and Job Posting forms

*      Posting of all available FWS jobs online through our GWork job listing service

*      Completion of I-9 Employment Eligibility Verification forms and distribution of I-9 receipts to students

*      Collection of tax forms and direct deposit forms

*      Production of resource materials and consultations for students and employers participating in the FWS program

*      Orientation and training sessions for employers, including “Managing Student Employees” and “Hiring Student Employees” offered several times each year in conjunction with GW’s Employee Training and Development

*      Organization and sponsorship of the annual Federal Work Study Job Fair (this year on Thursday, September 6, 2007, from 1:00–4:00 pm in the Marvin Center Grand Ballroom. Click here for more information.

The monetary aspects of the Federal Work Study program – who gets a FWS award, the amount of the FWS award, any changes to the FWS award – are handled solely by GW’s Office of Student Financial Assistance (OSFA).  The GW Career Center does not have access to student financial aid data – it is protected by the 1974 federal privacy law called “FERPA,” or Family Education Rights Privacy Act.  If your student employee has questions about any aspect of his or her financial aid package, including his or her Federal Work Study award, please refer them to GW’s OSFA. THE ONLINE “STUDENT HIRE APPLICATION” IS HERE!


The Career Center and ISS are pleased to announce the release of an automated workflow application supporting student employment processes at GW. This application includes the process for online initiation and approval of temporary and Federal Work Study student hires. It is the result of the collaboration between Information Systems and Services and the Career Center's Student Employment unit with stakeholders from numerous departments across the University. 

The new Student Hire process, which is a web-based form accessed through the myGW portal, is now available.

The new electronic process will:

*      Provide an electronic alternative to the current paper hire form, which will continue to be available for use as well; 

*      Track the completion of the required I-9 form;

*      For Federal Work Study students, provide an electronic alternative to the current printed Employment Authorization Form (EAF) with a self-service form to be printed by the student for use in verifying and monitoring the current status of Federal Work Study funding.

To obtain the full benefits of this new alternative system, please review current student hire procedures with those individuals in your area who have responsibility for this process.

 

BANNER ACCESS IS REQUIRED TO USE THE ONLINE STUDENT HIRE APPLICATION

This new process requires Banner access. If you would normally be processing student Hire forms and you do not have Banner access, you will need to submit requests for Banner access authorization as soon as possible. STUDENT HIRE ONLINE TRAINING
An online training module is available to acquaint you with the functionality of the Student Hire Application. The training, which is approximately thirteen minutes long, is available through GLearn at http://my.gwu.edu/mod/schedule/ . You must be logged into the myGW portal to view the training.

We encourage you to ensure that everyone with responsibility for aspects of the Student Hire process in your area complete the training process as soon as possible.

SPONSORED PROJECTS
Please note that if you are attempting to hire a student funded partially or in full by a sponsored project, please continue using the current paper-based student hiring process. The new electronic process is still being adapted for sponsored projects. An announcement regarding the availability date for applying the new electronic process for student hiring on sponsored projects will be forthcoming shortly.

FEDERAL WORK STUDY JOB FAIR

Students who have been awarded Federal Work Study funds as part of their University financial aid package can take advantage of this opportunity to meet with employers and to pick up employment forms and complete tax paperwork. FALL CAREER FAIR

Meet with employers representing a variety of career fields recruiting for full-time, part-time, co-op and internship positions. Attend the fair to look for job leads, gather information, and to develop a network of contacts. GWorld ID required for entrance. Proper attire required; business attire requested.
